When admins set up learning paths for your direct reports, you may be asked to approve their answers to open questions. This approval process ensures that your team members demonstrate understanding before progressing through their learning journey. As their manager, you play an important role in reviewing their work, providing feedback, and supporting their development through learning path approvals.
When to use the Approval Dashboard
Use the Approval Dashboard when you need to:
- Review and approve responses your direct reports have submitted to open questions in their learning paths
- Provide feedback on their work by requesting resubmission when needed
- Track which team members are waiting for approval and which have completed their learning steps
- Support your team's learning and development by ensuring they meet quality standards before advancing
Accessing the Approval Dashboard
You will find the Approval Dashboard under the 'Learning' > 'Approvals'.
When a learning path is configured with manager approval, you will see approval tasks for your direct reports in the dashboard. The learning path creator determines whether you are designated as an approver when setting up the open question element.
Understanding your approval tasks
When you receive an approval task, the learning path creator may have configured the approval in different ways:
Approver selection:
- You may be the sole approver for your direct report's responses
- You may share approval responsibilities with a specific person in your organization (such as a subject matter expert)
- Learning admins and super admins can also approve all responses
Reference instructions: When reviewing responses, you may see reference instructions provided by the learning path creator. These instructions help you evaluate responses consistently and understand what criteria to use when approving or requesting resubmission.
Using the Approval Dashboard
Viewing pending approvals
Once you open the Approval Dashboard, you will see all tasks pending your approval from your direct reports. The dashboard organizes tasks by the name of the learning element.
To filter the view:
- Use the status filter to see 'Pending approval', 'Approved', 'Resubmission required', or 'Approval not required' tasks
- Tasks are grouped by the question name, making it easy to see all responses to the same learning element
Taking action on responses
To approve or request resubmission:
- Select one or multiple responses by clicking the checkboxes
- At the bottom of the page, you will see action buttons:
- 'Approve' - approves the selected response(s)
- 'Request re-submission' - sends the response back to the participant for revision, and you can add a reason/hint as well
- 'Unselect' - clears your selection
Approving responses: When you approve a response, the participant will be able to continue their learning path (if blocking approval was configured) or their work will be marked as approved in the system.
Requesting resubmission: When you request resubmission, the participant will be notified that their response needs revision. They can then update their answer and resubmit it for your review. Participants can resubmit responses multiple times until approval is granted.
