The daily absence digest automatically posts a summary of who's out of the office to a Slack channel of your choice. This keeps your team informed about colleague availability without requiring them to check Leapsome or manually announce time off.
Please note: This feature is only available for organizations using Leapsome's Absence Management module.

How to set up and customize your absence digests
Before you get started
Make sure that:
- You are a super admin in Leapsome
- Your organization uses Leapsome's HRIS with Absence Management
- You have admin permissions for Slack
- You have already connected Slack to Leapsome (if not, please visit this article to learn how to enable Slack integration)
- Your organization has configured absence policies in Leapsome with appropriate visibility settings
Please note: Only absences with visibility set to 'Everyone' will show the specific absence type in the digest. If an absence policy restricts visibility, those absences will appear in an 'OOO' group without showing the specific absence type.
Enable Absence digests
Navigate to 'Settings' > 'Integrations and imports’> 'Slack'. Scroll down to the 'Absence Digest' section. Click '➕ New digest' to create your first digest. You can create multiple digests for different teams, departments, or channels. When creating or editing a digest, you have several customization options to tailor the digest to your organization's needs.
Targeting
Slack channel to post to
Slack channel Select which public Slack channel should receive the digest. Common choices include:
- #general (for company-wide visibility)
- #team-updates (for team-specific absences)
- #people-ops (for HR visibility)
Target groups
Apply filters to control which employees' absences appear in the digest:
- Filter by department (e.g., only show Engineering team absences)
- Filter by location (e.g., only show New York office absences)
- Filter by employment type (e.g., only show full-time employees)
If no filters are applied, the digest will include all employees in your organization.
Delivery
Days of the week
Choose which days to send the digest. By default, it's set to Monday through Friday, but you can customize this. For example:
- Monday to Friday (skip weekends)
- Monday, Wednesday, Friday (if you prefer less frequent updates)
- All seven days (if you have weekend shifts)
Posting time
Select when the digest should be posted each day. You can choose any time between 1 AM and 11 AM. The default is 8 AM, but you might want to adjust based on your team's work schedule:
- 7 AM for early starters
- 9 AM if most people arrive later
- Consider your team's time zones when selecting
Time zone
Choose the time zone for posting. This defaults to your company's primary time zone, but you can adjust it if needed. This is especially important for distributed teams.
Absence types
Select which absence types to include in the digest. By default, all absence types are selected, but you can customize this. For example:
- Include only PTO and sick leave
- Exclude remote work days
- Include all absence types for full visibility
Content
Date format
Choose your preferred date format.
Intro text
Add a custom message that appears at the top of each digest. This helps set the tone and provide context. Examples:
- "📅 Here's who's out today"
- "🌴 Daily absence update"
- "Good morning! Here's today's team availability"
Preview your digest
Before saving, you can preview what the digest will look like in Slack. This helps you confirm:
- The formatting looks correct
- The right employees are included
- The intro text displays as expected
- The date format is what you want
Once you're satisfied, click 'Create digest' to activate the digest.
Manage and edit existing digests
After creating one or more digests, you can view and manage them all in one place.
Navigate to 'Settings' > 'Integrations and imports' > 'Slack' Scroll down to the 'Absence Digests' section.
Edit an existing digest
To modify a digest:
- Hover over your digest
- Click 'Edit'
- Update any settings (channel, time, filters, content, etc.)
- Preview your changes Click 'Update digest' to apply the updates
Changes take effect immediately and will apply to the next scheduled digest.
Delete a digest
To remove a digest:
- Hover over your digest
- Click 'Delete'
- A confirmation modal will appear asking you to confirm
- Click 'Confirm' to permanently delete the digest
The digest will stop posting immediately, and the configuration will be removed.
Deactivate a digest
To deactivate a digest:
- Hover over your digest
- Click 'Deactivate'
- This won't remove your digest but it will be paused until you click on 'Activate' again
FAQs
1. Can I create multiple absence digests for different teams?
Yes. Each digest can be configured independently, including:
- Targeting filters (for example department, location, employment type)
- Channel
- Days and time of posting
- Intro text and formatting
- Included absence types
2. What if an absence policy has restricted visibility?
- If Everyone can see that the employee is absent and Everyone can see the absence type, the digest shows the specific type (for example Holiday or Sick Leave).
- If Everyone can see that the employee is absent, but Everyone cannot see the absence type, the absence appears under a generic OOO group (without the specific type).
- If Everyone cannot see that the employee is absent, the absence is not included in the digest.
2. Will the digest show absences that haven’t been approved yet?
No. The digest includes only approved absences. Pending or rejected requests will not appear.
