Access rights for the Instant Feedback module, like all access rights within the platform, are managed through Leapsome's Feature access matrix system, which gives admins a single place to control permissions across all modules. To view and configure access rights for the Instant Feedback module, navigate to: 'Settings' > 'Employees' > 'Feature access matrix'.

In Feature access matrix, you can:
- See which roles have access to each Instant Feedback feature (giving feedback, giving praise, viewing analytics, etc.)
- Toggle individual features on or off per role
- Assign roles in bulk
Custom access roles
You can also create custom access roles with tailored Instant Feedback permissions to meet your organization's specific needs. Custom roles allow you to grant specific users access to selected Instant Feedback features without giving them full admin rights.
To create and configure custom access roles:
- Navigate to 'Settings' > 'Employees' > 'Access roles.'
- Create a new custom role with specific feature combinations
- Define which Instant Feedback features users with that role can access in the Feature access matrix
- Assign the role to individual users or in bulk

Understanding feedback visibility settings
Instant Feedback includes visibility settings that determine who can see feedback and praise shared between users. These visibility options work independently from role-based access rights.
Available visibility options
When giving feedback or praise, users can choose from the following visibility options (depending on what admins have enabled):
- Private between sender and receiver: Only the sender and receiver can see the feedback. Managers and admins cannot access private feedback.
- Shared with the manager: The feedback is visible to the sender, receiver, and the receiver's manager. Any admin or indirect manager can also see this feedback.
- Public (praise only): Public praise is visible to all colleagues and can appear in the company's praise feed.
How admins configure visibility
Admins can control which visibility options are available to users by adjusting settings in the Feature Access Matrix. This allows you to:
- Enable or disable specific visibility options for your organization
- Ensure feedback aligns with your company's culture and privacy preferences
- Control whether praise can be shared publicly or kept private
Please note: Once a visibility setting is chosen for a piece of feedback, it cannot be changed retroactively. If feedback is given privately, it will remain private.

A reminder on roles
- (Super) Admins have full access to all Instant Feedback features by default, but cannot see private feedback between users
- HRBPs can be granted specific Instant Feedback access by an admin
- Managers can view feedback shared with them (based on visibility settings) for their direct reports
- Users can give and receive feedback based on the visibility options enabled by admins
- Custom roles can be configured with any combination of Instant Feedback permissions
