Leapsome's Absence Management module now allows admins to configure customizable absence reasons for sick leave policies. This feature enables organizations to capture detailed information about the nature of sick leave absences, supporting better reporting, compliance requirements, and internal analytics without creating multiple separate absence policies.
When to use detailed absence reasons
Detailed absence reasons are particularly valuable for mid-sized to large organizations that need to:
- Track specific categories of sick leave for compliance purposes, such as BEM (Betriebliches Eingliederungsmanagement) requirements in Germany
- Generate reports that distinguish between different types of sick leave (e.g., mental health, child illness, medical appointments)
- Analyze absence patterns and trends to inform wellbeing initiatives
- Meet legal or regulatory obligations that require categorized absence tracking
- Support payroll processes that differentiate between paid and unpaid sick leave types
Previously, organizations needed to create separate absence policies for each sick leave reason (e.g., "Sick Leave - Child", "Sick Leave - Own Illness"), which was cumbersome and not scalable. With this feature, you can maintain a single sick leave policy while capturing detailed reason data.
How detailed absence reasons work
When you add absence reasons to a sick leave policy, employees will see a dropdown menu during the absence request process that allows them to select the specific reason for their sick leave. This selection is:
- Captured alongside the absence request - The reason is stored with the absence record
- Available in reports and exports - You can filter and analyze absences by reason
- Configurable per policy - Different absence policies can have different reason options
- Optional or mandatory - You decide whether employees must select a reason
How to configure absence reasons
Navigate to 'Absence' > 'Absence policies' > select the sick leave policy you want to configure > 'Absence reasons'
Within the absence policy settings, you can:
- Add new absence reasons by clicking '+ Add reason'
- Enter the name of the absence reason (e.g., "Mental Health Related", "Child Care", "Medical Appointment")
- Reorder reasons by dragging them into your preferred sequence
- Edit existing reasons by clicking on the reason name
- Remove reasons by clicking the delete icon next to each reason
- Set whether selecting a reason is mandatory or optional
Please note: Absence reasons can be added to any sick leave policy, including custom policies you create. The reasons you configure will only appear for the specific policy they are assigned to.
How employees see absence reasons
When employees request sick leave under a policy with configured absence reasons:
- Navigate to 'Absence' > 'Request absence'
- Select the sick leave policy
- Enter the absence dates
- Select the absence reason from the dropdown menu (if configured)
- Add any additional notes in the comments field
- Submit the request
The absence reason dropdown will display all options you have configured for that specific policy. Employees can only select one reason per absence request.
How to use absence reasons for reporting
Once absence reasons are configured and employees begin using them, you can leverage this data for reporting:
- Navigate to 'Absence' > 'Analytics' to view absence data filtered by reason
- Export absence data including the reason field for external analysis
- Use filters to segment absences by specific reasons
- Track trends over time for particular absence categories
This granular data enables you to identify patterns, such as seasonal increases in specific types of sick leave or teams with higher rates of particular absence reasons, allowing for more targeted interventions and support.
