Billing and Invoices
1. Where do I find the right invoice for my company?
The invoice is available to be downloaded in the admin settings of your Leapsome account. The stripe notification is not the actual invoice. You need to go to 'Settings' → 'Support and billing' → 'Billing and invoices' → 'Manage payment details and retrieve invoices' to find and download the invoices.
2. Why does the invoice not include the official address of my company?
Probably because it's not the invoice but the payment confirmation that you are looking at. You can download the invoice by going to 'Settings' → 'Support and billing' → 'Billing & invoices' → 'Manage payment details and retrieve invoices' to find and download the invoices.
3. What shall I do if my company address on the invoice is wrong?
Please edit your address under 'Settings' → 'Support and billing' → 'Billing & Invoices' for future invoices. For information on invoices that have already been issued, please contact our support team using this contact form to adjust the billing address.
4. Which status do users need to have to appear on the bill?
Either 'Active' or 'Invited'. Users that are 'Created' will not be billed. With 'Deactivated' it gets a little tricky. When you purchase a Leapsome subscription, you are paying for a certain amount of licenses. If you keep adding users and the number of actual users exceeds the number of purchased licenses, you will be billed for the actual number of users starting from the moment the number of purchased licenses is exceeded. For example, if you initially purchased 10 licenses in January but decided to add 1 more user in April, then you will be billed for 11 users starting from April. Here, you can see how our billing works. However, let's say you purchased and added 10 users in January, but 1 user no longer works for your company. In this case, if you deactivate that user before adding the new employee that joins in April, the number of users you are billed for will stay the same (10 Licenses). Therefore please be sure that you are deactivating users as soon as they should, to make sure you are not exceeding the number of billable users.

5. How can I assign admin rights?
Super-admins can assign admin rights for specific modules to every other user by going to 'Settings' → 'Module & feature settings' of the specific module and selecting users who shall have admin rights for the module.
Super-admins are also able to make every other user a (super)-admin for the entire platform ('Company' → 'Employees' → 'Edit' user → 'Role'). You can read more on that here.
6. How can I assign and limit custom access rights for modules?
You can give a user or an entire team custom access rights to specific modules, which means other users (except super-admins) would not see the module anymore. You can also limit the access rights to a module for a user or entire team. Therefore you can go to the 'Settings' → 'Module & feature settings' of the specific module and select if access shall be given or limited for the specific users/teams. 7. What time zone is Leapsome using?
The time zone is automatically set based on the user's browser/system settings. It is currently not possible to set it in the Leapsome platform. Dates of content (Reviews, Surveys, etc.) are defined in the timezone of the user creating the content and displayed dates take each user's timezone into account. For cases where no specific time is defined in addition to a date, the default time set usually is 00:00 or 23:59.

In your 'Personal Settings', you can decide the language for your platform.
9. Can I see which admin made changes in user profiles?
Yes, please navigate to 'Company' → 'Employees' → open up a profile of an employee by clicking the pencil icon button. There, you will see a tab named 'Change log.' The tab will display the name of the person who made a change, what those changes are, the change creation date/time and the date/time the change took effect.

10. Where can I (de-)activate e-mail notifications?
Users can edit the type of notifications they receive for goal digests (E-Mail, Slack, etc.) and the frequency of notifications via their Profile settings.
As an admin, you can control notifications in Leapsome in the notification settings directly from the notifications tab ('Settings' → 'Automations' → 'Notifications' → 'Notifications settings'). Here, you can also see what notifications go out and which ones can be modified.
11. Who receives e-mail notifications?
All notifications go out to invited and active users.
12. When do the notifications go out / what time do our deadlines follow?
Dates are defined in the timezone of the user creating the content, and visible dates show according to the user's timezone in Leapsome. Notifications, where no specific time is defined, are usually sent at 00:00 or 23:59. If your organization is operating in multiple different timezones, the deadlines and timings might appear as +/-1 day depending on where a user is working from and what their system timezone is.
13. When does Leapsome send out (peer review) notifications?
There are different types of notifications: one-time to-do's (e.g. participating in a survey) and multiple to-do's (e.g. 360° feedback). All open to-do's (such as peer feedback) will be included in one daily e-mail. As this daily e-mail is always sent out in the morning, tasks like, for e.g., to do peer feedback can possibly be received a few hours late. If the peers were chosen in the evening, the e-mail would be sent out the next day. However, the to-do's immediately show up on the home screen in Leapsome.

When using multiple filters throughout the platform, the system applies specific logic to determine which users are included in your selection.
Different Filters = AND Logic When you select options from different filter types, the system uses "AND" logic. This means users must meet ALL selected criteria to be included.
Example: If you select Team: Product AND Location: Berlin, only users who are both in the Product team and located in Berlin will be included.
Same Filter = OR Logic When you select multiple options within the same filter type, the system uses "OR" logic. This means users who meet ANY of the selected criteria will be included.
Example: If you select Team: Product AND Team: Customer Success, users from either the Product team or the Customer Success team will be included.
When This Applies This logic applies to all areas where you use multiple filters to narrow down user selections, such as defining HRBP management scope or creating user groups.
