Forms is Leapsome's built-in form builder that lets admins create and manage structured people processes across the organization. It supports everything from one-off requests to long-running development processes. Instead of managing forms in scattered documents or emails, all submissions, responses, ownership, and access controls are handled in one place within Leapsome.
Forms support two types of processes:
- One-off forms capture a single request or decision, e.g., a learning budget request or an exit interview
- Ongoing forms are designed for processes that evolve over time, e.g., development plans, onboarding plans, or performance improvement plans (PIPs)
When to use Forms
- To collect structured information from employees in a consistent, repeatable way
- To run development or HR processes that require visibility, collaboration, and accountability
- When a process needs clearly defined ownership and access controls, such as defining who can view, comment on, or edit a submission
- When submissions need to go through an approval flow before being finalized
To find Forms, navigate to 'Settings' > 'Automations' > 'Forms'. Once you click on it, you will see the list of your Forms. This view shows all forms in your organization.
For each form, you can see some information like:
- Form name and description
- Form type
- Form owner(s)
- Number of participants or employee groups
- Number of comments
- Status (active or draft)
You can use the 'Filter' button to narrow the list by e.g. status, type of form, or owner.
