What is Leapsome Recruiting?
Leapsome Recruiting is the applicant tracking module in Leapsome. You can use it to approve headcount, publish jobs on your career portal, track candidates through your pipeline, collect interview feedback, send offers, and move new hires into the Leapsome HRIS.
Because Recruiting runs on the data you already have in Leapsome, you don't need a separate tool for hiring. Employees can be added to hiring teams, and openings and offers use your existing work locations, teams, and legal entities. Offer letters use the same document templates and e-signatures you already use in Leapsome.

When should I use Recruiting?

What are the building blocks of Recruiting?
Openings
Openings are the headcount you need to fill. They help you plan headcount and are used in your recruiting analytics.
Jobs
Jobs are the internal job profiles you hire for. Each job is linked to openings, and it defines the evaluation process candidates go through.
Postings
Postings are the job ads candidates see on your career portal or on other sites. Each posting is linked to a job.
Candidates and applications
A candidate can have several applications, e.g., when they apply for more than one job. Each application moves through the stages of the job's evaluation process.
Interviews
Interviews are scheduled from an application. They use interview templates and feedback forms, so every interviewer evaluates candidates in the same structured way.
Offers
Offers are created on an application. Depending on your setup, an offer can go through an approval flow before you send it to the candidate with an offer letter.
How do I find my way around Recruiting?
Click 'Recruiting' in the main navigation. Depending on your access, you'll see these areas:
- 'Candidates' shows candidates and applications across all jobs. You can switch between the 'Pipeline' and 'List' views and use the counters at the top, e.g., 'Active' or 'Pending offer', to filter. Click a candidate to see their applications, notes, emails, interviews, and offers.
- 'Interviews' shows the interviews you have access to. Open an interview to see the interview guide and submit your feedback.
- 'Offers' shows all offers you have access to. You can filter them by status, e.g., 'Draft', 'Pending approval', 'Sent', or 'Accepted'.
- 'Jobs' has three tabs: 'Openings', 'Jobs', and 'Postings'. Open a job to see its candidates, openings, postings, analytics, and evaluation process.

Who can see what in Recruiting?
Admins activate the module and choose who has access to it. Everyone else only sees the areas their permissions and hiring team roles allow. Some permissions only apply to jobs where the person is part of the hiring team.
- Interviewers see 'Recruiting' and 'Interviews' for the interviews they're assigned to, even without access to the module. This way, they can submit feedback.
- Approvers can open the offers they need to approve.
- Candidates don't need a Leapsome account. They only use public pages, such as your career portal, application forms, and interview booking links.
