How do I find my interviews in Leapsome?
Go to 'Recruiting' > 'Interviews'. Open an interview to see the interview guide with instructions, the candidate's CV and application, and your feedback form. You don't need a hiring team role: anyone assigned to an interview can open it and give feedback.
Access is tied to the interview, not to the hiring team. This way, your company can involve colleagues as interviewers without giving them access to the rest of the hiring pipeline. Feedback visibility settings also help reduce bias, e.g., by hiding other interviewers' feedback until you've submitted your own.

Where do I see my upcoming interviews?
Go to 'Recruiting' > 'Interviews'. If interviews are your only connection to Recruiting, this is the only Recruiting page you see.
- By default, the list shows interviews that include you ('Includes me').
- Each row shows the candidate, the job, the scheduled time, and the status of your feedback, e.g., 'Scheduled', 'Pending', 'Overdue', or 'Submitted'.
- Use the search, the status filter, and sorting to find a specific interview.
Leapsome also reminds you of your interviews:
- On the day of the interview and once feedback is due, you get a to-do in 'Your checklist' on the Home page, e.g., "Feedback to submit for [candidate name]". Both link to the interview guide.
- If your company has connected a calendar for Recruiting, the calendar invitation includes a link to the interview guide.
- You get a notification if a candidate books, moves, cancels, or declines an interview they booked themselves.
How do I prepare with the interview guide?
- Open the interview from the list, the to-do, or the calendar invitation.
- In 'Overview', check the 'Instructions' and the 'Schedule', which shows the interview type, time, duration, and interviewers.
- Review the 'CV', 'Application', and 'Job posting' tabs. The candidate sidebar shows the candidate's name, stage, contact details, and other details you're allowed to see. If the candidate has a LinkedIn profile, the sidebar also links to it.
- During the interview, take notes in 'Private notes' in 'Your feedback'. Only you can see them, and they're never shared or submitted.
Note: If the interview template doesn't collect feedback, the 'Your feedback' tab isn't shown.
Note: If someone asks you for feedback without an interview, the guide shows who requested it, their message, and only the tabs they chose to share.

What can I see as an interviewer?
- You can see the candidate's name, contact details, current role, stage, CV, application answers, and the job posting, as well as your own feedback, drafts, and private notes.
- Without candidate access on the job, you don't see the pipeline, the full candidate profile, other applications, notes, emails, offers, or salary bands.
- Admins can restrict individual candidate or application fields. Restricted fields don't appear in your interview guide.
- Salary expectations from the application form are visible in the 'Application' tab, unless an admin restricts that field.
- If you're also part of the job's hiring team in another role, you see more, including the full candidate profile and notes.
Whether you can see other interviewers' feedback depends on the feedback form's settings.
What else can I do in the interview guide?
Click the '...' menu at the top right of the guide. Depending on your access, you can:
- 'Open candidate profile' or 'Take note', if you have candidate access on the job. 'Take note' saves a note to the application on the candidate profile.
- 'Open job dashboard'.
- 'Reschedule' or 'Cancel interview', if you can manage the application.
- 'Mark as not attended'.
Can I reschedule or decline an interview?
No. Interviewers can't reschedule, cancel, or decline interviews in Leapsome. People who manage the candidate, such as the job's Recruiter or Hiring Manager, can do this from the '...' menu in the interview guide with 'Reschedule' or 'Cancel interview'.
If you need to move an interview or swap interviewers, contact the recruiter or hiring manager.
Note: If you decline the calendar invitation in your own calendar, this doesn't sync back to Leapsome. You stay assigned to the interview.
How do I set my interview availability?
- Click your name at the top right and select 'Personal Settings'.
- Scroll to 'Calendar Integration' and find 'Interview availability'. Click 'Manage availability'.
- Set the recurring times and calendars recruiters can use when they schedule you, then save.
If you don't set your own availability, Leapsome uses 9:00 to 18:00, Monday to Friday. Your availability and your calendar's free / busy times decide which slots recruiters and candidates can choose.
Note: Interview availability only works if your company has connected a calendar for Recruiting. If it hasn't, the section says that interview availability isn't configured and shows 'View availability status' instead. This calendar connection is separate from 'Sync with Google Calendar' and 'Sync with Outlook Calendar' in the same section, which sync your Leapsome events such as absences and meetings. Your company connects the Recruiting calendar for everyone, so you don't connect your own, and Leapsome only reads free / busy information.
Who can open an interview?
- To open interviews, you need the 'Submit interview feedback' permission, which everyone has by default, or access to Recruiting. This permission doesn't give access to any other part of Recruiting.
- You can only open an interview while you're assigned to it and it isn't canceled.
- On confidential jobs, you keep access to your own interviews. Other interviews on that job stay hidden.
