Leapsome uses two related but distinct concepts: the survey and the survey round. Understanding the difference makes it much easier to read statuses correctly, know when participants can respond, and take the right action at the right time.
Survey vs. survey round
A survey is the overall setup you create once: its questions, participants, visibility settings, and frequency. A survey can be one-time or recurring (for example, a pulse survey repeating every month, quarter, or six months).
A survey round is a single occurrence of that survey being sent out for a defined answer period, such as "open for 15 days." A recurring survey runs many rounds over time, and each round has its own start date, deadline, and set of responses.
The survey is the container. The round is one answer window inside it.
The four survey statuses
When you filter the Surveys overview by status, you will see exactly four options:
- Draft - The survey has been set up but never launched. No responses yet.
- Active - The survey has been launched and, if recurring, is running on its schedule. Active describes the survey as a whole, not whether people can respond right now.
- Paused - The survey was launched but is temporarily halted by an admin. No questionnaires go out until it is resumed. Existing results stay available.
- Closed - The survey has been stopped and will not launch again until an admin resumes it. Results remain available.
By default, the Surveys overview pre-selects Draft and Active. One-time surveys move to "Closed" automatically, since they have only one round by nature.
Active status vs. accepting responses
A survey's status and whether it is currently collecting answers are two separate things. Active only tells you the survey has been launched, meaning it is not Draft, Paused, or Closed.
An active survey is always in one of two states:
- In an open round - currently accepting responses. Shown as the Live label on the survey card:
- Between rounds - waiting for the next round to launch, not accepting responses at the moment. Shown as the Planned label on the survey card:
Managing surveys and rounds
Resuming a closed survey
To resume a closed survey, go to the survey, then click the gear icon > 'Actions' > 'Resume'. Alternatively, use the three-dot menu on the Surveys overview and select 'Resume'. This returns the survey to Active status. Adjust the timing afterward so the next round launches on the desired date. All historical results are preserved.
Adjusting an open round's deadline
While a round is still within its answer period, you can change its deadline. To adjust an open survey round's deadline:
- Go to Surveys and open the relevant survey.
- Go to Settings > Timing.
- Find Settings for the current survey round.
- Update the deadline / number of days the round should stay open.
- Click 'Update' / 'Save changes'.
A round whose deadline has passed
Once a round's answer period ends, that round's deadline can no longer be edited.
