How do I create a job profile in Leapsome?
Go to 'Recruiting' > 'Jobs', open the 'Jobs' tab, and click 'New job'. Fill in the steps 'Basic info', 'Job openings', 'Evaluation process', 'Compensation', and 'Hiring team'. Then click 'Save draft' or 'Publish and finish'.
A job profile is the internal definition of a role. You set it up once and use it for one or more job postings. The evaluation process defines the stages candidates move through, so one shared process can standardize hiring across many similar jobs. The hiring team decides who can work on the job and its candidates.
Note: Salary bands are set on openings and offers, not on the job profile.

When should I create a new job profile?
- When a new role needs hiring and you want to define it before you advertise it
- When you want a new job based on an existing one. Instead of starting from scratch, use 'Duplicate' in the job's row menu on the 'Jobs' list.
'Duplicate' creates a draft copy with the basic info, linked active openings, evaluation process, hiring team, compensation, confidential setting, and stage activities.
How to create a job profile
- Go to 'Recruiting' > 'Jobs', open the 'Jobs' tab, and click 'New job'.
- In 'Basic info', add the 'Job title', 'Team / Department', 'Work location', and 'Description'. You can also add a 'Level' and 'Employment type', or turn on 'Mark this job as confidential'. If you select several work locations, the first one is the primary location.
- In 'Job openings', link one or more openings, or create a new one with 'New opening'. To learn more, see Managing openings: creating, approving, and filling.
- In 'Evaluation process', select one of your company's active evaluation processes. If you can manage ATS templates, you can also create a new process here.
- In 'Compensation', click 'Add tier' to add salary ranges with a title, minimum, maximum, currency, and interval. You can also add a 'Compensation philosophy'.
- In 'Hiring team', click 'Add member', choose a role, and select people. Leapsome shows what the selected role can do on this job.
- Click 'Save draft' at any point, or 'Publish and finish' on the last step. To learn more, see Publishing a job and managing its lifecycle.
To edit a job later, open it and click 'Edit'. On a published job, remember to click on 'Save changes'.
Note: Compensation on the job is internal. It's copied to postings you create from the job, where you choose what candidates see. A person can only appear once on the hiring team, and a member only counts once both a person and a role are selected.
How do stage activities work with the evaluation process?
Stage activities run when an application enters a stage, e.g., sending an email, creating a task, or scheduling an interview. The 'Evaluation process' tab on the job's page opens this step of the job form.
- If you can manage recruiting automations, stage activities appear below the evaluation process once the job is saved. To learn more, see Setting up automations on stages and jobs.
- If the selected process has default stage activities, Leapsome copies them to the job when it's created, or when the process changes while the job is still a draft.
- If you change the process on a draft job, the old process's stage activities are hidden. Leapsome asks you to confirm first. If you select the old process again, the activities come back unchanged.
To manage the evaluation processes themselves, go to 'Settings' > 'Recruiting' > 'Evaluation processes'. To learn more, see Setting up evaluation processes and interview templates.
What does a job need before I can publish it?
- A job title, team, work location, and description
- A linked opening with the status Open
- An evaluation process with at least one sub-stage
- At least one hiring team member with a role
Note: Once a job is published, it keeps its evaluation process. To change the process, close the job, reopen it as a draft, change the process, and publish it again. An evaluation process can't be deleted while active jobs still use it.
Who can create and edit job profiles?
- To create a job, you need the 'Create job profiles' permission. Admins have it by default.
- To edit a job, you need 'Create job profiles', 'Manage job profiles', or 'Manage assigned job profiles' for jobs where you're part of the hiring team.
- To create an evaluation process from the job form, you need the 'Manage ATS templates' permission.
- Hiring team roles are assigned per job. Leapsome comes with five default roles: Hiring Manager, Recruiter, Coordinator, Sourcer, and Interviewer. Admins can create custom roles and adjust what each role can do in 'Settings' > 'Employees' > 'Feature access matrix'. To learn more, see Hiring team roles and permissions.
- Confidential jobs are hidden from the career portal and job boards. Hiring team members also need the 'Access assigned confidential jobs and openings' permission, and the 'Hiring team' step shows a reminder about this.
