How do I add candidates in Leapsome?
Candidates who apply through your career portal are added automatically. To add someone yourself, go to 'Recruiting' > 'Candidates', click 'Add candidate', choose a published job, and enter the candidate's name, email, and data source. To consider an existing candidate for another job, choose 'Consider for another job' in the '...' menu on their profile. Admins can also import many candidates at once.
This keeps sourced candidates, referrals, and agency CVs in the same pipeline as everyone who applied. Every application is linked to one candidate profile, so you don't create duplicates.

How do I add a candidate manually?
Go to 'Recruiting' > 'Candidates' and click 'Add candidate'. Choose a published job, enter the candidate's name, email, and data source, and optionally choose a stage and upload a resume.
Use this for candidates who didn't apply through your career portal, e.g., people you sourced on LinkedIn, referrals, or CVs from agencies.
- Go to 'Recruiting' > 'Candidates' and click 'Add candidate'. You can also start from a job row in the pipeline or from the job's 'Candidates' tab. The job is then already selected.
- Under 'Job', choose the job. Only published jobs you can manage are listed.
- Enter the 'First name', 'Last name', and 'Email', and choose a 'Data source'. Your admin sets up the available sources.
- Optional: choose a 'Stage'. If you leave it empty, the candidate is placed in the first stage.
- Optional: under 'Resume', click 'Select file' to upload a resume.
- Click 'Add candidate'. The candidate profile opens.
Please note:
- If a candidate with the same email already exists, the new application is added to that candidate's profile.
- A candidate can't have two active applications for the same job.
- You can't add candidates directly to 'Hired', 'Rejected', or 'Withdrawn'.
- Adding a candidate runs the stage's automations, which can include emails to the candidate.
- Resumes you upload yourself aren't parsed by AI. AI resume parsing only runs for applications from your career portal. To learn more, see AI resume parsing.
How do I consider a candidate for another job?
If a candidate fits another job better, or should be considered for both, create a new application for them. Leapsome reuses their profile, resume, and matching answers, so you don't create a duplicate.
- Open the candidate, click the '...' menu, and choose 'Consider for another job'. In the 'Pipeline' view, you can also drag the card onto another job's row.
- Choose the job. Jobs where the candidate is already in process, or applied before, are marked.
- Optional: choose a stage. If you leave it empty, the first stage is used.
- Check the 'Data source'. It's filled in with the candidate's current source.
- Click 'Create application'.
- The original application stays unchanged.
- The resume and answers to questions that the new job's application form also asks are copied. File answers aren't copied.
- An 'Automations may run' note reminds you that the stage's automations will run for the new application.
- 'Consider for another job' isn't available for anonymized candidates.
Can I import many candidates at once?
Yes. Admins can import candidates, applications, and documents in bulk, e.g., when you move from another ATS or want to add applications you received outside Leapsome. Go to 'Settings' > 'Recruiting' > 'Import history' and click 'Import recruiting data'. Past imports are listed on the same page.

Who can add candidates?
'Add candidate' and 'Consider for another job' are available if you can manage all candidates, or if you manage assigned candidates on the job through your hiring team role. Confidential jobs only appear if you have access to them. Bulk imports are run by admins.

Note: Candidates you add manually are recorded as sourced by a recruiter. This matters for your GDPR information duties toward candidates who didn't apply themselves.
