Managing employee data across multiple countries can be challenging when certain attributes only apply to specific locations. For example, IBAN bank account details are relevant for EU-based employees, while US employees use different banking formats. Work visa types vary by country, and displaying non-applicable fields can create confusion for employees entering their information.
With location-specific attribute applicability, you can ensure that only relevant profile fields are displayed to employees based on their work location. This reduces confusion, streamlines data entry, and ensures employees only see fields that apply to them.
Setting Up Location-Specific Attributes
To restrict an attribute to specific work locations:
- Navigate to 'Settings' > 'Employees' > 'Profile fields and access'
- Click the attribute you want to configure
- In the attribute settings, locate the 'Applies to' and 'Excludes' dropdowns
- Under the 'Applies to' dropdown, Select which locations the attribute should apply to:
- 'All locations' (default) - The attribute will be visible to all employees
- Select specific locations - The attribute will only be visible to employees in those locations
- Under the 'Excludes' dropdown, select which locations the attribute should not apply to
- Click 'Save' to apply your changes
Filtering Attributes by Location
You can view which attributes apply to specific locations using the filter:
- In 'Settings' > 'Employees' > 'Profile fields and access', use the 'Location applicability' filter
- Select one or more locations to see only attributes that apply to those locations
- This helps you quickly review and manage location-specific configurations
You can also access applicable attributes directly from work location settings:
- Navigate to 'Settings' > 'Company Settings' > 'Work Locations'
- Click on a specific location
- Click 'Applicable Attributes' to view all attributes configured for that location
Attributes That Cannot Be Restricted
Certain core attributes are required for Leapsome to function properly and cannot be restricted by location:
- Teams
- First name, last name, preferred name
- Start date, termination date
- Status, lifecycle status
- Birthday
- Primary manager
- Work location
These attributes will always display 'All locations' and cannot be changed.
Changing Attribute Applicability
If you need to change which locations an attribute applies to:
- Navigate to the attribute settings as described above
- Update the 'Applies to' selection
- If you are removing a location where employees currently have data in this attribute, a confirmation modal will appear
- Review the consequences to existing employee data
- Confirm the change
Please note: If an employee transfers from a location where an attribute is applicable to one where it is not applicable, the attribute will be hidden from their profile but the data will remain in the change log.
