Super-admins can enable their employees to submit anonymous suggestions or feedback to the company super-admins or suggestion box owners. This would provide the employees the ability to submit feedback or a complaint to the admins without having to wait for a survey, thereby allowing the admins to act on the feedback proactively. This suggestion would only be visible to the super-admins of the company (by default) or suggestion box owners (if selected).
To enable the option for employees to submit anonymous suggestions, the Super-admin needs to go to 'Settings' > 'Employees' > 'Access configuration' > find the 'Platform' subsection > enable 'Create anonymous suggestions'. You can enable this feature to either 'Everyone' or for a selected role.
Select internal owners responsible for managing anonymous suggestions
As a Super-admin, you are able to select internal owner(s) who would manage the anonymous suggestions. You can have as many owners as you feel are necessary to your company's needs; However, we recommend having at least two owners, but not more than five. These owners would be the only users who would be able to see all anonymous suggestions and start conversations with them. This is not limited to super-admins or admins, but can be any user within the company that would be best suited to managing such suggestions.
Employees can submit anonymous suggestions by going to the 'Company' > 'Suggestion box' > 'Actions' > 'Create anonymous suggestion'. Only super-admins or suggestion box owners will receive a notification of the submitted anonymous suggestion to their email, which will directly link them to the particular suggestion. These notifications will not be visible in the notifications menu to retain anonymity.
Please note: If you would like to only have owners of the suggestion box to view the anonymous suggestions, and have this separate from super admins and admins, then the super admins can add the selected owners responsible for the anonymous suggestion box, and remove themselves from the list. This would ensure that only owners can see the suggestion box and not admins.
Suggestion Box
All the suggestions would also be visible in the submenu 'Company' > 'Suggestion box' available to only super admins (by default) and/or owners of the suggestion box. All anonymous suggestions would be visible in this submenu with the content and the date of the submission, without the name or profile of the employee who submitted the suggestion. This provides the super-admins or suggestion box owners with the unique ability to create action plans from the feedback to benefit the team and its employees.
Owners of the suggestion box can also start a conversation with the sender while retaining the anonymity of the sender. Once suggestions are submitted, they cannot be deleted, even by the super admins or suggestion box owners.
Please note: If you are not a suggestion box owner, then you would only have visibility to suggestions that you have submitted.
Once a suggestion is opened, it is automatically marked as read. Suggestion box owners can also mark the suggestion as important or archive the suggestion.
Suggestion box owners can filter by the following properties to sort the suggestions:
- Creation date: Current quarter, current year, last quarter, last year, or custom timeframe.
- Status: Open or archived.
- Suggestion Priority: Marked as important or not marked as important.
- Read: Read or unread.
- Conversation: Has conversation or no conversation.
- Saved: Saved combination of filters.
