How do I set up review questions with AI in Leapsome?
Admins can use the AI questionnaire wizard to build and refine review questions through a conversational interface, directly inside the Questions tab of a review template. Instead of manually adding each question, admins describe what they need and the AI suggests, adds, updates, and organises questions in real time. All AI-generated content is fully editable before saving.
This reduces the time it takes to set up a review questionnaire from scratch and ensures questions are aligned with the review's purpose, the employee's goals, and Leapsome's best practice library.

What is the AI questionnaire wizard?
The AI questionnaire wizard is a conversational assistant that helps admins create and manage review questions. It is built into the Questions tab of both review cycles and review templates. Admins describe what they need in plain language and the wizard responds by adding, updating, removing, or reorganising questions and sections.
The wizard takes into account the name and description of the review, any questions already added manually, and Leapsome's best practice question library. Best practice library questions are prioritised where relevant.
How to enable the feature
The AI questionnaire wizard is controlled by the Feature Access Matrix. To enable it:
- Go to 'Settings' > 'Employees' > 'Feature Access Matrix'
- Locate the 'AI features' section
- Enable the 'Reviews - assessment assistant' setting for AI-guided review questionnaire configuration for the relevant roles
How to access the AI questionnaire wizard
Go to 'Reviews' > 'Templates' > select a template / create one and go to the > 'Questions' tab.
Once on the Questions tab, click on 'Review cycle assistant' to open the AI assistant panel to start building or refining the questionnaire conversationally.
What the wizard can do
Through the conversational interface, admins can ask the wizard to:
- Add questions and sections (up to 15 items per request)
- Update existing AI-suggested questions, including their settings
- Delete AI-suggested questions or sections
- Move questions between sections
- Configure who sees each question: manager, reviewee, peer, or direct report
- Set scoring and comment requirements for each question
- Suggest questions based on the review name, description, and existing questions
- Pick relevant questions from the best practice library
Please note: Only questions created by the wizard during the current session can be edited or deleted through the wizard. Questions added manually or saved in a previous session are not editable through the AI assistant.
Question types
The wizard supports the following question types:
- Custom questions: Free-text questions written by the wizard or the admin, with full control over visibility, scoring, and comment settings
- Library questions: Questions from Leapsome's best practice question library, with configurable visibility and scoring
- Goal-based questions: Auto-generated questions that surface each participant's active goals. A maximum of one goal-based question can be added per review cycle
- Company competency questions: Dynamically populated with company-wide competencies. A maximum of one company competency question can be added per review cycle
- Team competency questions: Dynamically populated with team-specific competencies. A maximum of one team competency question can be added per review cycle
Please note: Competencies must be uploaded to Leapsome before the wizard can include them in the questionnaire. If competencies have not been configured, competency questions cannot be added dynamically.
How AI suggestions are marked
Questions suggested or added by the wizard are marked with an AI flag in the Questions tab. This flag is visible while the questions are unsaved. Once an admin clicks 'Save and continue', the AI-suggested questions are confirmed and the flag disappears.
Only questions that still carry the AI flag can be edited or deleted through the wizard in the current session. Confirmed (saved) questions can be edited manually like any other question, but the wizard will not modify them in future sessions.
If an AI-suggested question is duplicated, the duplicate loses the AI flag and is treated as a manually added question.
Current limitations
The following are not supported in the current version of the AI questionnaire wizard:
- Custom scale configuration: The wizard cannot set up custom rating scales. If a custom scale is needed, the wizard will explain how to configure it manually after the questionnaire is saved
- Manual competency selection: Admins cannot instruct the wizard to manually select specific competencies; only dynamic competency questions are supported
- Multiple choice questions: The wizard adds multiple choice questions only when explicitly requested, as Leapsome's review analytics are optimised for scored and open-text responses
- Long questionnaires in a single prompt: Due to prompt length limits, very long questionnaires should be built across multiple conversational turns rather than in a single message
FAQ
1. Can I use the wizard on an existing questionnaire that already has questions?
Yes. The wizard takes into account any questions already added to the cycle or template. It will not modify manually added questions, but it can add new questions or sections alongside them.
2. Can I mix AI-suggested and manually added questions?
Yes. The wizard adds questions on top of any questions you have already configured manually. Manually added questions are not affected by the wizard and remain editable through the standard question settings.
3. What happens to AI-suggested questions if I close the wizard without saving?
Unsaved AI-suggested questions are discarded when the session ends. Always click 'Save and continue' to confirm and retain the questions the wizard has added.
4. Does the wizard use questions from previous review cycles?
No. The wizard uses the current review's name, description, and any questions already added in the current session. It does not pull in questions from previous cycles.
5. Can the wizard configure who sees each question?
Yes. The wizard can set question visibility to manager, reviewee, peer, or direct report, based on the review roles enabled for the cycle. It can also configure whether a question is private (visible only to managers and admins).
